What is the automatic birthday email?

When you request the date of birth of guests in the reservation module, you the opportunity to send out free birthday mailings. you can yourself choose what the message is and when the mail will be sent (on the birthday, a week in advance or a few days before). Handy, because with a special birthday promotion such as a free glass of cava you easily lure people to your business!

Activate the automatic birthday email

1. From the menu bar on the left side of your system, navigate to Guests > Automailings.
2. Click on the green plus sign.
3. At Mailing select the option Birthdaymailing.
4. At Type of period select the option [1] Specific day.
5. At # days  enter the number of days that the mail must be sent in advance. Do you want the email on the birthday send it out yourself, then enter 0.
6. At Sender select the account from which the email should be sent.
7. At Mailtemplate select the mail template that you wish to use.
8. click on Save.

Include a promotional coupon in your birthday email

You can send a promotional voucher to the birthday person in your birthday email. So can you a gift voucher of a certain amount or a product (free aperitif, ...) gift. First you have to create a promotional voucher for this. Here's how to do it.

You then adjust your automailing by clicking on the speech bubble to the right of the birthday email to click. There we add a parameter with following structures: #PromotionVoucherLink1;[Value];[Validity in months];[Description]#.

    • That gives a voucher that valid is 3 months from the date of receipt worth € 15 with the description Birthday present

    • It is best to enter the format of the dates as YYYY-MM-DD.
    • The correct number of the template to be used can be found through > Gift Cards > Templates and types.
    • [Validity in months] has no effect unless you select [Valid until] is left blank, then the period is calculated starting at [Valid]

What is the automatic last minute mail?

You can at fixed times receive an automated mail with an overview of the outstanding last minutes to a specific group of customers.

Activate the last minute mail

1. Go to  Marketing > Automailings
2. Click on the green plus sign to create a new mailing.
3. At Mailing select you the option Lastminutes Automailing.
4. At Period type select you the option [1] Specific day.
5. At # days enter the number of days that the email may be sent in advance. If you want to send the e-mail on the day itself, enter 0.
6. At Sender select you the account from which the e-mail may be sent.
7. At Mail template select you the mail template you wish to use.
8. If you want the mail to be sent only on certain weekdays  enter the day numbers at Weekdays. For example: if you only send the mail on Monday (1), Wednesday (3) and Saturday (6) want to send, enter the value "136".
9. click on Save.
